What personal data we collect and why we collect it

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website. 

Contact forms

We use contact forms as part of our intake process for new clients. Information entered into these forms is routed directly to a secure database, and not stored on the server where this web site is hosted. This information is used to help us better understand your needs and objectives as a potential client. All information provided is treated with absolute confidentiality. It is never shared with any third parties.

Cookies

This site uses small files saved by your web browser, called cookies, to personalize and enhance your experience by allowing you access to the site’s full capabilities. No personally identifiable information is stored within the cookies placed by this site. You may opt out of cookie placement at anytime by disabling cookies in your web browser’s settings. Doing so may affect your browsing experience in undesirable ways.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

 

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Visitor comments are checked through an automated spam detection service.

 

Your contact information

Contact information you provide is only used by Vacano Creative, and is stored off-site in our CRM database, which is secured and only available to members of the Vacano Creative team.

How we protect your data

Your data is never stored in an unsecured fashion, and when transmitting, for example sending a file via email, we use end-to-end EAS-256 encryption to prevent the capture or compromise of your data while in transit.

If you are a client of Vacano Creative, we may invite you to use the collaborative tools available in the secure, members-only area of the site. This includes an interface that allows you access to a collaborative Dropbox folder shared exclusively between you (and any members of your organization that you specify) and Vacano Creative.

What data breach procedures we have in place

This site employs strong, multi-layered measures to prevent intrusion or data compromise. In the highly unlikely instance that an intruder does manage to breach these security measures, any data they may gain access to would be of no use, as no personal or sensitive business data is stored on this site other than any contact information you may voluntarily enter into your user profile.

What automated decision making and/or profiling we do with user data

We may use pooled user data to guide our decision-making with regard to our marketing efforts. Data is always grouped and anonymized, and we never use individual user data for this or any other purpose.
